How Sauce became Rix’s digital expenses mate

THE CLIENT'S BUSINESS CHALLENGE

The Rix Group is one of the oldest and most successful family-owned, independent fuel distributers in the UK.

It had identified a significant issue not only for its own business, but for countless other traditional organisations – the time-consuming and inefficient processing of staff expenses.

THE PROCESS

Rix established Expensemate as a subsidiary business and launched a pre-paid Mastercard service but required an app that would allow staff to input their expenses easily on the go and a digital portal to store the data, which could be accessed by finance teams.

That’s where Sauce came in.

OUR SOLUTION

Working collaboratively with Rix, we developed an intuitive and customisable app that employees could upload photographs of their expenses receipts to after using the card.

We agreed the portal would have to allow the data captured via the app to flow seamlessly through a company’s financial systems, contributing to an accurate and fully auditable set of accounts.

THE RESULTS

Expensemate is a holistic suite of products, helping management, administrators and other employees manage finances more efficiently and accurately.

It consists of the pre-paid Mastercard coupled with the mobile app and online dashboard which allows staff to capture digital receipts and categorise their expenses, managers to set limits and approve or decline spend at any time of the day, and finance directors to analyse expenditure with accurate, up-to-date information.

It includes an automated VAT calculator, which enables accountants to easily submit their returns with a full set of digital receipts whenever they are subjected to audit.
